Expand after you have a useful pitch, a way to handle replies and evidence that your first campaigns are worth continuing. One Google mailbox is our starting recommendation. Additional domains and inboxes add expense, permissions and more places where a reply or stop request can be missed.

Choose the next tool for a specific job

These services have their own pricing, permissions and policies. Confirm that the planned outreach is allowed before connecting or buying; adding infrastructure does not create recipient permission. Our guides describe handoffs; they do not establish a tested vendor connection for your account. Check current plan capabilities before purchase. Zoho users can retain Zoho where the selected sender supports it.

Authenticate each sending domain

For Google Workspace, have the domain administrator follow Google’s SPF, DKIM and DMARC setup instructions. SPF identifies authorized senders, DKIM signs mail and DMARC checks alignment with the visible From domain and supplies reporting/policy. Inventory every legitimate sender before changing DNS; replacing a record can break other mail. Send a controlled test through the actual sending path and inspect its received authentication results. Repeat for each domain, alias and external sender you will use. A DNS lookup alone does not establish that a real message passed authentication. Google recommends all three mechanisms; the applicable minimum requirements differ for bulk senders. Read the current Gmail sender requirements.

Add domains only with a clear purpose

Prefer an identity recipients can connect to your business and a reply mailbox someone checks. An additional domain should make its relationship to the business clear. Do not use lookalike domains or impersonate another publisher. Domain separation is not a guarantee that reputation or business risk is isolated. Before purchasing, assign the owner, renewal budget, DNS access, reply handling, authentication and suppression process. A new mailbox does not reset the recipient’s earlier request to stop. Do not distribute the same campaign across accounts to evade provider limits or enforcement.

Increase activity from observed results

Provider quotas are ceilings, not recommended campaign volumes. Google Workspace sending limits vary by account and sending path. Leave room for normal correspondence and count follow-ups as sends. Our recommendation is to start with a small reviewed batch and increase only after checking delivery errors, bounces, replies and workload. Pause expansion when errors or complaints rise, or replies cannot be handled. Diagnose the cause before adding inboxes. There is no universal safe daily number or guaranteed ramp schedule. Instantly describes automated warm-up exchanges and a warm-up score. Treat those as vendor signals: they cannot prove your publisher pitches will reach the inbox or earn citations. Google recommends gradual, consistent sending to engaged recipients. Its guidance does not establish that a third-party warm-up score predicts delivery. Review the service’s access, activity and provider-policy compatibility before enabling it. Authentication, relevant recipients and actual reply handling remain necessary.

Qualify the sequence before launch

Use a controlled recipient to check the draft, send, reply detection and stop behavior. Review the actual schedule, sender identities, recipient list and suppression settings before activating a campaign. Verify a reply stops pending follow-ups as configured. Retain message and campaign references with the existing AgentLinkOps prospect/contact IDs. When switching senders, reconcile and stop the old sequence before enabling the new one. An AgentLinkOps outcome update does not cancel external queued mail. If a send succeeds but the record update fails, repair the record from its receipt without sending again. For each review, record the observation time and what remains unknown. Return claimed placements to independent link verification. Sender “success” and warm-up scores cannot establish a backlink win.
